1The Properties list

Open Properties in the sidebar. The line under the title says how many homes are synced from your ops software (or how many are listed) and how many need attention. If reports are waiting for sign-off, an amber bar reads 2 reports awaiting your sign-off with Review now.

Who can do this: everyone on your account sees the same list and can use everything on it.

1.1Finding a home

  • Type in Search properties... to search names and addresses.
  • The pills filter the list: Active, Inactive (deactivated and off-season homes), All, and No baseline (active homes with no 3D scan, photos or video yet). Each shows its count.
  • City chips under the search narrow it to one or more cities. Clear removes them.
  • Click a column heading (Property, Status, Last inspection, Location) to sort by it, and again to reverse it. By default, homes that need attention come first.

Click a row to open the home. Click the date under Last inspection to go straight to that report. The list shows 100 homes a page, with page numbers at the bottom.

The Properties list on a phone, filtered to Active: the address and what the baseline holds sit under each name. On a computer they have their own Last inspection, Location and Baseline columns. Homes that need attention sort to the top. The homes are examples, not a real account.

1.2What the Status column means

StatusWhat it means
2 findingsThe last report found issues.
2 findings to review, or Awaiting sign-offThe last report was delivered and nobody has signed it off yet.
ClearThe last report found nothing.
AnalyzingThe last walkthrough was recorded and its report is on the way.
No reportThe last walkthrough could not be analyzed, so no report was made. The recording is still there.
Never inspectedNo inspection has finished for this home yet.
InactiveThe home is deactivated (see 3.3).

The Baseline column shows whether the home has a 3D scan, photos and a baseline video. Click one to open it.

1.3The row menu

The ... at the end of each row has View property, Edit checklist, 3D scan, Deactivate (or Reactivate) and Delete property.

2Adding a property

2.1Homes from your ops software

If your account is connected to your ops software, your homes arrive on their own and stay in step with it. The line under the Properties title reads, for example, 120 synced from followed by the software's name. You do not need to add them.

If you have no homes yet, the list reads Get started with RapidEye. Depending on your account it offers Connect Breezeway, a guide to connecting that platform, and always Add property manually.

2.2Adding a home yourself

  1. On Properties, press Add property. You can also press ⌘K and choose Add property. The Add property form opens.
  2. Fill in Street address, City, State and ZIP. Property name is optional; without one the address is used. Choose a Type: Single family, Condo, Cabin or Studio.
  3. Press Save & record baseline. The home is added and Add baseline walkthrough opens: a baseline is the recording RapidEye compares every later inspection against.
  4. Choose Record now, Copy link for cleaner or Upload a video (see 4), or press Skip for now.How to record a good baseline is in the recording reference.

3The property page

3.1The header

Under the home's name you see its address, its type, and which software it is synced from. Next to them:

  • Inspected and a date: the last finished inspection.
  • Where reports go: Slack, Email, Slack connecting, Delivery issue or Notifications off. Hover or tap it for details, such as the Slack channel. Delivery issue means the last report could not be delivered; it is saved and we retry, so nothing is lost.
  • Inactive, if the home is deactivated.

The buttons on the right are Edit checklist, New inspection, and a ... menu with 3D scan, Deactivate and Delete property. Beside the history, the Baseline card shows the home's reference photos, 3D scan and baseline video, room by room; a home with none of them shows Add a baseline for the home's name instead, and on a phone the card is a single line you tap to open (see the Baseline card). The Inspections and Open findings tiles count this home's inspections and unresolved findings.

3.2Inspection history

Inspection history lists every inspection of the home, newest first. The pills show All, Upcoming (not recorded yet) or Completed. Each row shows the source (your ops software's name, Auto or Manual), the length and date, the number of findings and tasks, and a status:

Row showsWhat it means
RecordingSomeone is recording a baseline right now. The page updates by itself when they finish.
PendingCreated but not recorded yet. Click it to record or send the link.
AnalyzingRecorded; the report is on the way.
No reportThe analysis did not finish, so there is no report. The recording is still there.
Not analyzedThe walkthrough was too short to analyze.
BaselineA baseline recording, which sets the reference.
ReviewedSomeone on your team signed the report off.

Click a finished row to open its report. Each row's ... menu has View report, Re-record (record the walkthrough again, which replaces the one delivered), Record walkthrough (for a task that has photos but no video yet), and Delete inspection. Deleting asks Delete this inspection? and cannot be undone.

3.3Deactivating or deleting a home

Deactivate takes a home off the Active list, for example for the off-season, and keeps all of its history. Reactivate brings it back. You find deactivated homes under the Inactive pill.

Delete property asks Delete this property? Deleting removes the home and all of its inspections and data for good, so deactivate instead if you might need them.

Who can do this: anyone on your account.

4Starting an inspection

Most inspections start on their own: a cleaner opens the recording link in their task, or your company's inspection link (see recording links). Use this when you want to start one by hand.

4.1New inspection

  1. Open the home and press New inspection.Schedule inspection opens. It creates a checkout inspection. To record a baseline instead, use Video on the home's Baseline card (see walking a baseline video).
  2. Press Record now to record on the device you are holding. The recorder opens. What happens next is in the cleaner's screen.
  3. Or press Copy link for cleaner, and paste the link into a text or email to the cleaner. The choice reads Link copied. The link opens this home's recorder on their phone, with no login.
  4. Or use Upload a video (see 4.2).

4.2Uploading a finished video

If a walkthrough was filmed outside RapidEye, drag the video file onto Upload a video, or click it and pick the file. It takes MP4, MOV, WebM, AVI and MKV files, and ignores anything else. It reads Uploading video… with a percentage, then Video uploaded, and the inspection appears in the home's history. A baseline video keeps uploading even if you close the form.

5The checklist

A home's checklist is the list of steps a cleaner sees over the camera while recording. RapidEye then checks each step against the video. How cleaners use it is in the recording reference.

Who can do this: anyone on your account.

5.1Editing the checklist

  1. Open the home and press Edit checklist. The Inspection checklist page opens: The list cleaners see while recording.
  2. Press Add checklist item for each step and type it in. The second box is an Optional section label, such as a room name.Keep each step short, about 55 characters, so it fits on the cleaner's phone. A step that runs long gets an orange outline.
  3. Drag the handle on the left of a step to reorder it. Order the list to match the walk through the home.
  4. Press the bin icon to remove a step.
  5. Press Save checklist.A green chip reads Saved · 12 tasks. Nothing changes for cleaners until you save.

Steps cannot use a long dash between words. Separate the area from the details with a colon instead, for example Kitchen: counters clear, sink empty. A plain hyphen, as in re-stock, is fine.

If a banner reads Inherited from company default., this home uses your company's standard checklist. Editing and saving gives the home its own copy, which then applies to it instead.

5.2Creating one from the baseline

Once a home has a baseline walkthrough, RapidEye can draft its checklist from it.

  1. On the checklist page, press Create with AI · ~1 min.A banner reads Building your checklist from the walkthrough… with a progress bar. It usually takes about a minute. You can leave the page: if you come back within 15 minutes, the draft is waiting. If the home already has a saved Housekeeping checklist, the draft is not kept for you, so stay on the page until it appears.
  2. Read the draft. Reorder, edit or remove any step.A banner says the list was generated and is not saved yet. The draft is a Housekeeping (cleaners) checklist.
  3. Press Save checklist.

Without a baseline video the button is greyed out, with the hint Record a baseline walkthrough of this property first.

5.3Checklist types

A home can have one checklist of each type: Housekeeping (cleaners), Inspection and Maintenance. Pick the type under Checklist type before editing. When a recording starts from a task in your ops software, RapidEye shows the checklist whose type matches the task's department. Otherwise it uses the first checklist it finds in this order: Housekeeping, Inspection, Maintenance. Within each type, the home's own checklist comes before your company's default, so a company Housekeeping checklist is used before the home's own Inspection one.
