You prove guest damage with three linked records: the item's condition after the previous guest left, its condition right after this guest checked out, and a dated repair or replacement cost. Together they show the damage happened during one stay, which is what both platforms are really asking. Airbnb's Host Damage Protection terms want evidence of the "time, cause and origin" of the loss, a request to the guest within 14 days of checkout and a filed request within 30; Vrbo gives hosts 14 days after checkout. Operators who photograph every turnover the same way, and have RapidEye compare each one against the property's baseline, have that before record for every stay.

This guide is for vacation rental managers and hosts who have had a damage claim stall or get denied, usually because the "before" did not prove anything. It sits alongside our step-by-step filing guides for Airbnb AirCover and Vrbo; this page is about the evidence, not the forms.

The proof chain: three records, and where each one breaks

A photo of a cracked tabletop proves the tabletop is cracked. It does not prove which guest cracked it. The claim only works when three records connect:

Records 1 and 2 bracket the stay. If both exist, show the same item from comparable angles, and nothing else happened between them, attribution is done. If either one is missing, you are arguing memory against a guest's denial. The hardest version of this, same-day turnovers where two stays sit between your photos, has its own playbook in back-to-back booking damage attribution.

What Airbnb and Vrbo each ask for, side by side

Both platforms publish their rules. Read in their own words, they ask for the same chain.

Airbnb (Host Damage Protection)Vrbo (deposit or card on file)
First deadlineWithin 14 days of the guest's checkout: explain why the guest is responsible and ask them to pay, which the Resolution Center request satisfies14 days after checkout to assess the property and submit a claim
Second deadlineWithin 30 days of checkout, file the Host Damage Protection request if the guest has not paidNone. One claim; you cannot withhold more after the first
Evidence namedThe "time, cause and origin" of the loss, shown with receipts, photographs, videos and documents; an inventory with purchase date and condition at the time of loss; repair estimatesVrbo encourages sharing your photos or evidence with the guest before filing; if the guest disputes a card-on-file charge, Vrbo requests documentation from both sides
CeilingUp to $3 million under AirCover for HostsThe damage deposit amount the host set
ExcludedNormal wear and tear; cleaning tied to normal check-out tasksAnything above the deposit (separate payment requests aside)
Evidence integrityMust not be "doctored or falsified in any way, including by the use of artificial intelligence"Not specified

Two things follow. First, "time" and "origin" in Airbnb's terms are exactly records 1 and 2: the platform is asking you to bracket the stay. Second, both clocks start at checkout, not at discovery. Damage your team finds a week later, two guests on, is damage you can no longer place in time. The window is short, and the before record has to already exist when the clock starts.

"My before photos weren't good enough": the fix

This is the most common denial story we hear from hosts, and it is almost never about camera quality. It is about the before photo not matching the after photo. A before record that holds up has five properties:

  • Taken every turnover, not once a year. The before for this stay is the after-clean photo from the last turnover. Listing photos are marketing, not condition records.
  • Same angles every time. A fixed shot list per property, so the after photo can be matched to its before. Comparable framing is what makes a difference visible.
  • Wide plus close-up on high-claim items. A wide shot places the item in the room; the close-up shows its surface. Upholstery, countertops, TVs, flooring, outdoor amenities.
  • Original files, uploaded right away. No filters, edits or screenshots. Airbnb's terms now explicitly reject evidence altered with AI.
  • Tied to the reservation. Each set filed under the property and the stay it closes, so you can say which guest was between which two photo sets.

Our full shot list is in the STR turnover inspection checklist, and the denial reasons beyond photos are in why STR damage claims get denied.

The part nobody has time for: comparing them

Most professional operators already capture records 1 and 2. Cleaners already photograph each turnover in Breezeway or their PMS. The chain still breaks, because nobody compares this turnover's photos against the last one's, item by item, before the 14-day clock runs out. The evidence exists; the finding does not.

That is the step RapidEye does. It reviews every turnover's photos or video against the property's own baseline and flags what changed, damage and missing items, with the before and after attached to each finding, usually while the guest who caused it is still inside the window. Your team does not dig through a folder to build the case; the case arrives with the finding. How to review Airbnb guest damage covers what to do once a finding lands.

Quick FAQ

How do property managers prove guest damage on Airbnb and Vrbo?

Property managers prove guest damage with three linked records: the condition of the item after the previous guest left, its condition right after this guest checked out, and a dated repair or replacement cost. Together they show the damage happened during one stay. Airbnb's Host Damage Protection terms ask for evidence of the time, cause and origin of the loss, a request to the guest within 14 days of checkout, and a reimbursement request within 30 days. Vrbo gives hosts 14 days after checkout to file against the damage deposit or card on file. Operators who photograph every turnover the same way, and have RapidEye compare each one against the property's baseline, have the before record for every stay.

Why did Airbnb deny my claim because of my before photos?

A before photo only proves something if it shows the same item, from a comparable angle, taken after the previous guest left and before this guest arrived. Listing photos, photos from months earlier, or a wide shot where the item is a few pixels do not establish the condition at check-in, so they cannot establish when the damage happened. Fix it with a fixed photo set taken at every turnover, the same angles each time, wide plus close-up on high-claim items, tied to the reservation.

How long do I have to file a damage claim on Airbnb and Vrbo?

On Airbnb, Host Damage Protection terms require you to ask the responsible guest for reimbursement within 14 days of their checkout, which you can do through the Resolution Center, and to file the Host Damage Protection request within 30 days of checkout if the guest does not pay. On Vrbo, hosts have 14 days after checkout to assess the property and submit a claim against the damage deposit or card on file. More detail in how long an Airbnb damage claim takes.

Can I use AI-edited photos as evidence in an Airbnb damage claim?

No. Airbnb's Host Damage Protection terms define legitimate and verifiable evidence as documents and information that are true and accurate and not doctored or falsified in any way, including by the use of artificial intelligence. Submit original, unedited photos and video. Using AI to review your photos and find damage is a different thing from using AI to alter them.
