The argument every venue knows

Something is broken Monday morning. The client says it was like that. The caterer says it was the band. Without a dated before, everyone is right.

No baseline, no claim

Deposit deductions and insurance claims turn on proving condition before the event, with a date on it. A photo taken after the fact, against no baseline, is an opinion.

Back-to-back bookings blur liability

Friday corporate, Saturday wedding, Sunday shower. When damage surfaces Monday, which booking pays? Without per-event condition records, the answer is usually the venue.

High-value contents, high churn

Furnishings, AV equipment, decor, and fixtures move, break, and disappear under vendors and guests who will never be in the building again. The inventory question is as important as the damage one.

How it works for venues

A few minutes of phone video on either side of every booking.

Baseline before the event

Any staff member walks the space with a phone before handoff: rooms, furnishings, floors, walls, fixtures. That pass is the event's dated reference.

Walk through after

Same walk after breakdown. RapidEye compares the two and flags damage, missing items, and cleaning gaps with the exact frames that show them.

Settle with evidence

Each finding is a dated before-and-after pair, attributed to that booking's window. Deposits, vendor conversations, and claims start from proof.

What it catches

The morning-after findings, before the client's deposit conversation.

DamageScratched hardwood at dance floor edge

Absent at baseline, present after. The frame pair goes straight into the deposit file.

DamageWine stain on upholstered banquette

Caught in the post-event pass while the cleaning crew is still on site to treat it.

MissingTwo cocktail tables short

Present in the baseline inventory, gone at breakdown. Flagged before the rental company invoices you for them.

DamageWall scuffs along load-out path

The classic vendor exit trail, attributed to the event whose window it appeared in.

CleaningTerrace not reset

Furniture, planters, and lighting checked against how the space is supposed to hand over.

ClearedGrand hall floors and fixtures

Most walkthroughs come back clean, and a documented clean handoff protects the client as much as the venue.

Illustrative findings. Every real finding carries timestamped before-and-after frames from your own walkthroughs.

FAQ

Common questions

How long does the before-and-after capture take?

A phone video walkthrough of a typical venue takes a few minutes: walk the rooms, pass the camera over furnishings, fixtures, walls, and floors. The pre-event pass is the baseline; the post-event pass is what gets compared. No special equipment, and any staff member can do it.

That is exactly what per-event baselines solve. Every event gets its own before-and-after pair, so damage attributes to the booking whose window it appeared in. The Saturday wedding cannot be billed for what Friday's corporate party did, and neither can argue with dated frames on both sides.
The evidence still exists. Because condition is recorded at every changeover, a late discovery can be checked against the walkthrough history to establish the window it appeared in, which is far stronger than a photo taken a week late with no baseline behind it.
Both turn on proving before-and-after condition with dates, and that is the exact artifact RapidEye produces for each finding. Clients see evidence rather than an invoice they are inclined to argue with, and claims files start complete.
